Placing holds:

  1. Set aside time on your calendar right after drop/add to place holds.
  2. After Probation/Suspension students are emailed, keep a list of any students who do not need a hold placed. Possible reasons could be they have already completed their DCT appointment, they received a hardship withdrawal and they’re no longer on Probation, or they got Academic Renewal.
  3. After drop/add, pull a new Argos report.
  4. Once the list is pulled,
    1. Remove any of the students you identified above who don’t need a hold placed.
    2. Edit the spreadsheet so it’s just the students’ names, 81x number, and a column to indicate if the hold has been placed.
  5. Log onto Banner and pull up the SOAHOLD screen. Use the spreadsheet to pull up each student by their 81x number.
    1. Click +Insert in the top right corner
    2. Type “CC” and hit tab
    3. For the reason, write “DCT Meeting Required”
    4. Tab over to the Origination Code and type “DT” and tab over again until description “See Academic Advisor” appears
    5. Click SAVE in the bottom right corner
  6. During this process, it is recommended to look through the student’s holds to see if there are any previous Coaching/DCT holds. Previous holds are possible for a number of scenarios, but particularly if the student is back on probation.
  7. Email Advisors to notify them that holds have been placed and share a reminder of how you want to be notified when a hold needs to be removed.

Removing holds:

  1. Log onto Banner and pull up the SOAHOLD screen.
  2. Find the DT hold and click on the Reason. Change it to “DCT Meeting Completed.”
  3. Tab over to the “To*” field. Select today’s date for that field and tab over to the end.
  4. Click Save.
